RentLedger · by Worksub

In development

Rent deposits matched to units and owners, and statements drafted.

RentLedger will read your bank feed and your AppFolio or Buildium exports and match every deposit and fee to a unit and an owner. It will flag what it can’t place and export clean entries to QuickBooks. It will also draft each owner’s monthly statement, ready for you to review and send.

For small property managers, landlords with several entities, and their bookkeepers. From Worksub, the team behind CertPilot and EstoppelPilot.

The problem

Month end means matching deposits by hand.

Rent arrives by Zelle, ACH, check and portal payment, often under a tenant’s name rather than a unit. Someone matches each deposit to a unit and an owner, splits out fees, and rebuilds the books in QuickBooks for every entity.

Then the owner statements get built in a spreadsheet. It is the reason small property managers keep a bookkeeper on retainer.

  • Deposits don’t say which unit

A memo like “ZELLE J MORALES” has to be traced to a lease before it can be booked.

  • One entity per owner

Several owners and LLCs means several sets of books to keep in step.

  • Statements by hand

Every owner expects a clear monthly statement, and each one is assembled manually.

How it will work

What RentLedger is planned to do

This is the plan, not a shipped product. The waitlist decides what gets built first, and what you tell us shapes it.
  1. 1

    Connect your sources

Upload bank and AppFolio or Buildium exports, or connect a bank feed. RentLedger will learn your units, tenants and owners.

  2. 2

    Deposits are matched

Each deposit and fee will be matched to a unit and owner. Anything ambiguous is flagged with the likely options.

  3. 3

    Books are exported

Approved matches go to QuickBooks as clean entries, per entity.

  4. 4

    Statements are drafted

Each owner’s monthly statement is drafted as a PDF for you to review and send.

FAQ

Questions about RentLedger

Do I need to leave AppFolio or Buildium?

No. RentLedger is planned to work from their exports and your bank feed, and fill the gap between them and QuickBooks.

Is this for property managers or bookkeepers?

Both. Bookkeepers who serve several property managers are a big part of who we’re building it for. Tell us which you are in the form.

Does this exist yet?
